Who controls your data
Sevenoaks STEM Tutors is a service of Stovio Skills Limited, the data controller. Stovio Skills Limited is registered in England and Wales under company number 15784752. Its registered office is Orchard Grove, Knockholt Road, Halstead, Sevenoaks, TN14 7EU. Privacy enquiries should be sent to enquiries@stovioskills.com.
Information we collect
For parent and carer enquiries we collect contact details, the learner’s year group, subject or stage, preferred tuition format and information you choose to provide about tutoring needs. For tutor applications we collect contact details, subjects, teaching level, experience and DBS status. If an application progresses, we may separately collect identity, qualification, reference, right-to-work and vetting information through an appropriate secure route.
Please do not submit medical records, DBS certificates, identity documents or unnecessary information about a child through the website forms.
Why and how we use information
- To respond to enquiries, assess needs, match families and tutors and administer tuition — necessary to take steps at your request and, where applicable, perform a contract.
- To assess tutor applications and carry out recruitment and vetting — necessary to take steps before a contract and for our legitimate interests in operating a safe, effective service.
- To meet safeguarding, accounting and other legal duties — necessary to comply with legal obligations.
- To protect children, families, tutors and the service, including keeping proportionate records of concerns — legitimate interests and, where relevant, protection of vital interests or substantial public-interest safeguarding conditions.
We do not use website enquiry information for unrelated marketing. If we later introduce marketing emails, we will ask for any consent required and provide a clear opt-out.
We use Vercel Web Analytics to understand anonymous page visits and improve the website. It does not use analytics or advertising cookies, and the reports do not identify individual visitors.
Who receives information
Access is limited to people who need the information to operate the service. We may share relevant details with a proposed tutor after discussing the match with you; with referees and vetting providers during recruitment; with professional advisers; or with safeguarding authorities, regulators or law enforcement when necessary. We do not sell personal data.
Service providers and international transfers
Website forms are processed by FormSubmit and delivered to our business email. The site is hosted by Vercel. Email and business records may be handled through Google Workspace. Some providers may process information outside the UK; where this occurs we rely on the provider’s applicable UK transfer safeguards and data-processing terms and review these arrangements periodically.
How long we keep information
- Unconverted parent enquiries: normally up to 12 months after the last meaningful contact.
- Unsuccessful tutor applications and vetting notes: normally up to 6 months after the process ends, unless a longer period is justified and communicated.
- Records for active families, tutors and financial transactions: for the relationship and normally 6 years afterwards where needed for contracts, tax or legal claims.
- Safeguarding records: retained securely in line with the nature of the concern, statutory guidance and professional advice; they are not deleted merely because a tutoring relationship ends.
We review these retention periods periodically and adjust them when legal, safeguarding or operational requirements change.
Security
We use access controls, data minimisation and separate secure evidence collection for sensitive recruitment documents. No website or email system is completely secure; please contact us before sending sensitive information.
Your rights
Depending on the circumstances, you may ask for access, correction, deletion, restriction, portability or objection to processing. You may also withdraw consent where consent is the basis used. Contact enquiries@stovioskills.com. We may need to verify your identity before acting.
Complaints
You may complain to the Information Commissioner’s Office at ico.org.uk/make-a-complaint/. We would appreciate the opportunity to address your concern first.
Children’s information
Parents or carers should normally make enquiries and remain involved in arrangements. We collect only the information needed to understand and deliver support. Safeguarding may require us to retain or share information without consent when this is lawful and necessary to protect a child.
